1. Purpose and Guiding Principles
Le Moyne College encourages innovative technology use while maintaining a firm commitment to our Catholic, Jesuit identity, ethical integrity, and respect for our community. These guidelines establish standards for the responsible creation, editing, and deployment of AI-generated visual media.
- Human-Centered Storytelling: AI is a tool to support, ideate, and enhance creative workflows - not as a replacement for authentic human design and storytelling.
- Authenticity & Trust: Prospective students, alumni, and community members rely on authentic representations of the Le Moyne experience. Misleading visuals risk damaging institutional credibility.
- Inclusion & Ethics: AI generators can unintentionally perpetuate or amplify bias. Staff must critically evaluate all AI-generated visuals to ensure accurate and fair representation across all identity factors.
These guidelines pertain to all Le Moyne College faculty, administrators, staff, students, contractors, and representatives.
2. Prohibited Uses of AI Media
To safeguard the College's brand identity and ethical standards, the following practices are strictly prohibited:
- Replicating Official Logos & Marks: AI tools must never be used to generate, recreate, or alter official Le Moyne College brand marks, logos, athletic symbols, or official seals. All official logos must be placed separately using approved vector files.
- Synthetic Portrayals of People (Deepfakes): Creating AI-generated imagery or altering existing photos to depict real students, faculty, staff, or alumni without express written consent is prohibited.
- Deceptive Campus Visuals: Creating synthetic photos or composite images of campus buildings, classrooms, or events that do not accurately represent real campus life is not permitted for official marketing.
- Altering Photo Context: AI visual tools must never be used to add, remove, or reposition subjects or background elements in ways that distort the factual truth of an event or news story.
3. Acceptable Uses & Approved Workflows
A. Internal Materials & Ideation
- Concepting Boards: Generative AI tools may be used for internal brainstorming, storyboarding, or concept generation.
- Internal Presentations: Non-photorealistic, illustrative AI graphics may be used in internal slide decks or internal documents, provided they are properly labeled.
B. External Marketing & Communications
- Generative Photo Editing (Photoshop Tools): Using AI-assisted software tools (e.g., Adobe Generative Expand/Fill or Content-Aware Fill) for background extension, canvas resizing, or basic background touch-ups is acceptable, provided it does not change the focal subject or meaning of the photo.
- Stock Photography Filtering: When sourcing stock assets for public campaigns, staff must apply platform filters (e.g., on Adobe Stock or Getty Images) to exclude AI-generated stock options in favor of authentic photography.
4. Labeling & Disclosure Recommendations
- Internal Media Disclosures: Any internal slide deck, report, or document incorporating AI-generated images must feature a visible disclosure line in the caption or footer.
- Example: "Generative AI was used to create this graphic."
- Public/External Disclosures: If an external marketing graphic or video relies significantly on synthetic or AI-assisted artwork, disclosure must be included where appropriate, following review by the Office of Marketing and Communications.
5. Copyright, Privacy, & Data Security
- Data Privacy: Do not upload sensitive personal data, FERPA-protected student information, or confidential college records into public or non-approved AI generation engines.
- Copyright & Legal Ambiguity: Because AI-generated outputs draw from broad training sets, they carry legal ambiguity regarding copyright ownership. Final public marketing assets should rely primarily on original human-created assets or properly licensed photography.
- Third-Party Vendors & Partners: Outside vendors, corporate partners, and advertising agencies producing content for Le Moyne platforms must comply with these guidelines.
